SOP on Preventive Maintenance Program

Purpose
To lay down Procedure for preparing Preventive Maintenance programs or procedures for equipment or system and their component (s).
Scope
This standard operating procedure is applicable for preparation of Preventive Maintenance   procedure or programs for all equipment’s or systems installed at ABC Limited
Procedure:
  • Each equipment/Instrument/system shall have Preventive Maintenance Procedure in the shape of a Preventive Maintenance Checklist.
  • Frequency of Preventive Maintenance checklist shall be prepared depending upon application & criticality of specific Equipment/Component.
  • Annual Master Preventive Maintenance planner shall be prepared for a year i.e. January to December. by engineering department, checked by in-charge of engineering/designee, concerned department and approved by Quality Assurance. Controlled copies of planner shall be distributed by QA dept. to all concern departments, engineering Dept. Master copy shall be retained with Quality Assurance Department.
  • A Monthly Preventive Maintenance Planner shall be prepared
  • by engineering department with incorporating planned date, as approved on Annual Preventive Maintenance planner every month. Monthly planner shall be prepared by engineering department, checked by engineering department & approved by concern Department.
  • The Preventive maintenance schedules shall have ± 7 days’ acceptable tolerance and Preventive maintenance shall be done within this period if preventive maintenance not performed after tolerance then concern department will raise deviation for the same. If the machine(s)/ equipment(s) which will be under breakdown/Not in use from long time   preventive Maintenance can be considered Quarterly to keep Healthy condition of the machine.
  • Before starting the Preventive maintenance activities, a tag of “Under Maintenance” shall be displayed on the equipment/area for which the preventive maintenance is to be performed, the same shall be removed after completion of preventive maintenance.
  • Preventive Maintenance procedure of each machine shall have preventive maintenance checklist. Preventive Maintenance checklist shall be made as per recommendation of the manufacturer, operation and maintenance manual and operational experience mentioned in this SOP.
  • Preventive Maintenance checks as per checklist shall be sign on “Done by” a technician/designee and “Checked by” /Manager/Designee of Engineering. After completion of Preventive Maintenance, affix “Preventive maintenance status” tag as per status labeling properly filled along with Machine name, I.D. No., Done date, Due date. The technician, who carried Preventive maintenance, shall sign on “Done by” and Supervisor/Officer- Engineering shall sign on “checked by” after checking the status of work done.
  • A Machine History card shall be prepared by engineering department for each
  • machine, which contains all the information related to that machine i.e. Machine Name, ID. No, Make, Model, Motors, Utility services required and Spare used during preventive maintenance and same shall be recorded.
  • Preventive Maintenance and Breakdown Maintenance history will be recorded in
  • history card along with spare part used, same shall be sign by technician/Designee on “Done by” and “checked by” Manager, Designee- Engineering department.
  • Any major repair or replacement of any critical part which affect the performance of the machine shall be taken through change control Procedure.
  • The Master Preventive Maintenance Planner shall be prepared and revised yearly, within 15 days before due date.
  • In case, New equipment’s/instruments shall be installed, same shall be added in All Preventive Maintenance records shall be retained for a period of at least 5 years from the date of generation of that record.
